Privacy policy

This explains what personal information this website collects, why, how long it is kept and what you can do about it. It is written to be read, not to be impressive.

Who is responsible

What is collected, and why

  • When you send a message. Your name, email address, business name and whatever you write. It is used to reply to you and to carry out any work that follows.
  • When you join the tools waitlist. Your name, email address and your answer about which task you would like a tool for. It is used to tell you about the tools, and only if you ticked the box to say yes.
  • When you use the hours-saved calculator. Nothing. It runs in your browser and the numbers are not sent anywhere, unless you choose to email the result to yourself.
  • When you browse the site. Basic technical information needed to serve the pages securely, and visit statistics only if you accept them in the cookie banner.

Nothing on this site asks for sensitive information, and you should not send any in a form.

Why this is allowed

Replying to an enquiry and carrying out agreed work is done on the basis of taking steps at your request and performing a contract. Marketing emails are sent only with your consent, which you can withdraw whenever you like. Keeping records of work and invoices is done to meet legal obligations.

Who else sees it

Your information is not sold, and it is not shared for anyone else’s marketing. It is handled by the suppliers who run this website and its email, who act on instructions only.

These are the suppliers involved in running this website, and what each one handles:

  • IONOS hosts the website and provides the email address you write to. Anything you send through a form is stored on that hosting, in the website’s own database, and in the email that reaches us. IONOS is a European company and holds this information in the United Kingdom or elsewhere in Europe.
  • Google Analytics counts visits, and only if you accept cookies. It is not given your name, your email address or anything you type into a form.
  • Cal.com runs the booking page. If you book a call you do that on their page rather than ours, so what you enter there is covered by their own privacy notice as well as this one.

The form on this site is handled by software running on our own hosting, so form entries are not passed to a separate forms company.

Information that leaves the UK

Two of those suppliers handle information outside the UK. Cal.com is based in the United States and runs its booking service from there, so if you book a call, the name, email address and anything you write in the booking form are handled in the United States. Google Analytics may also process visit data outside the UK. Both publish the protections they use for this, which you can read in their own privacy notices. If you would rather no visit statistics were collected at all, refuse cookies, and none will be. If you would rather not use the booking page, email us instead and we will arrange a time that way.

How long it is kept

  • Enquiries that do not lead to work: kept for 12 months, then deleted. Long enough to pick up a conversation that went quiet, and no longer.
  • Records of paid work: kept for 7 years, because tax rules require records to be held for 6 years after the end of the tax year they relate to.
  • Waitlist details: kept until you ask to come off the list, and the list is reviewed once a year so addresses that are no longer wanted are removed.

You can ask for your information to be deleted sooner, and it will be unless there is a legal reason to keep it, such as a record needed for tax.

Your rights

Under UK data protection law you can ask for a copy of the information held about you, ask for it to be corrected or deleted, object to how it is used, and withdraw consent to marketing at any time. Ask by email and you will get an answer within one month.

If you are not happy with the response, you can complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk.
