The top jobs from your Time Audit, built, tested and handed over. You end up with a small number of tasks that run without you, and you know how to keep them running.
Typical automations
These are the kinds of jobs that are usually worth doing first. They are typical examples of the work, not results from named clients.
- Enquiry handling. New enquiries sorted, logged and acknowledged, so nothing sits unread until the evening.
- Quote follow-ups. The chaser that gets forgotten, sent on time, in your words.
- Documents and reports. Notes, jobs or figures turned into a first draft you check rather than write.
- Scheduling. Bookings, reminders and confirmations handled without the back and forth.
- Getting information into one place. Details that are currently retyped from one system into another.
What gets built depends on your audit. We would rather do two things properly than ten badly.
The process
1
Agree the scope
We pick the jobs, write down what each one must do, and agree what finished looks like before we start.
2
Build and test
We build it and run it on real examples, including the awkward ones, until the output is right.
3
Run it alongside you
It runs next to how you work now, so you can see it is right before anything is switched over.
4
Hand it over
You get written instructions, a walkthrough, and a clear account of what to do if it stops working.
Handover and support
Automation you cannot understand is a liability. So everything is handed over in plain language: what it does, where it runs, what it costs to keep running, and how to turn it off.
Nothing is locked to us. If you want to move it to someone else, or bring it in house, you have what you need to do that.
Support after handover is agreed before we start and written into the scope, so you know what is covered and for how long. You always get written instructions and a walkthrough, and if something does not work as agreed, we put it right.
Data security
Before anything is built we agree what information it may touch and what it must never touch. Access is kept to the minimum needed, agreed in writing, and removed at the end of the work.
Where customer information is involved, we will tell you plainly what the automation does with it, so you can meet your own data protection obligations. This is practical guidance, not legal advice.
Automation questions
Do I need a Time Audit first?
Usually, yes. It is how we know we are building the right thing. If you already know exactly what you want, say so on the call.
What happens if it breaks?
Everything is built so you can fall back to doing the job by hand. The handover notes say how, so a problem is an inconvenience rather than a stoppage.
Are there ongoing costs?
Sometimes, if an automation uses a paid tool. You are told what those cost before anything is built, and they are paid to the supplier, not to us.
Will customers know they are dealing with a machine?
Nothing is set up to pretend to be you. Where a customer is replied to automatically, we make that honest and keep a person in the loop where it matters.
